Client code of conduct

 

Session Guidelines

                                                      

1. Sessions are intended to begin and end at the scheduled times. Sessions that begin late due to the client’s late arrival will end at the scheduled time and will be billed at the full rate.

                                                                                                                                                                              2. Clients must provide a health history and related health update, as deemed necessary.

 

3. If a client has a cold, flu, covid, sore throat, stomach virus, poison ivy, skin rash, or any other contagious condition, they are kindly requested to reschedule their appointment.

 

4. During massage sessions draping will be used. Only the area being worked on will be uncovered.

 

5. Clients under the age of 17 must be accompanied by a parent or legal guardian during the entire session. Informed written consent must be provided by parent or legal guardian for any client under the age of 17.

 

6. Clients are expected to be clean, having showered the same day as the treatment.

 

7. Clients are asked not to eat a heavy meal less than two hours prior to the session.

 

8. The work space is a non-smoking environment.

 

Cancellations                                                         

Sometimes due to unforeseen circumstances you may need to cancel or change your appointment. In order not to be billed for the appointment, you must notify me within 24 hours of your appointment time. If less than a 24 hour notice is provided, you will be billed for 50% of the fee. Clients who do not show up for their appointment and do not notify me in advance will be billed the full session fee.

Please note emergency cancellations are determined at my discretion.

 

Termination                                                             

Massage/ bodywork and somatic practice is therapeutic in nature and any interactions and communications must remain professional. 

Sexual harassment is not tolerated, and the session will be terminated if this occurs or if the practitioner’s safety is compromised in any way. Sexual harassment is defined as any behaviour that is intended to or has the effect of offending.

Please note if the treatment is terminated for the above-mentioned reasons, payment is still required.

Sessions will not be conducted if the client is intoxicated, using drugs, or threatening the safety of the massage therapist, the safety of others in the building, or themselves. 

 

 

 

Therapist code of conduct 

 

1. Clients will be provided with a competent and professional session, which is customized and focused on their individual needs.

2. Appointments will be confirmed the day prior to scheduled appointment.

​

3. Accurate records are maintained, and client charts are reviewed before each massage session.

​

4. During massage appointments, clients are draped with a sheet at all times during the session. Only the parts of the body being worked on are exposed at any time. The genital area is never exposed or massaged.

5. Clients will be referred to an appropriate specialist when the treatment is not within the scope of the session.

​

6. Personal and professional boundaries are respected at all times.

​

7. Clients are treated with respect and dignity.

​

8. All clients are treated equally regardless of their age, gender, race national origin, sexual orientation, religion, socio-economic status, body type, and political affiliation, state of health or personal habits.

9. Privacy and confidentiality are maintained at all times.

​

10. As a therapist I am fully qualified and committed to providing a high standard of work in my practice.

11. As a therapist I am committed to updating and keeping my practice current.

​

12. Equipment and supplies are kept clean and safe.

Privacy and Data Protection Policy

1. Consent: by signing the initial consultation form, you are giving your consent for Fit2Flow to hold your personal information. The information which you supply on the forms will be held together with any clinical records or purchasing information, as applicable. Your information will be used to provide you with the best possible service and for insurance purposes.


2. Email marketing: with your permission from time to time, I will send you emails about my products, my practice, special offers, handy tips and other updates. You will need to positively opt in either online or on your initial consultation form to receive these updates. You can unsubscribe at any time, by emailing me at fit2flowinfo@gmail.com or by text on 07958467090.

 

3. Storing your information: your information will stored safely and securely in my appointment management system. I do not store personal data on any portable devices such as a memory stick. All documents and apps that contain personal data are password protected.

 

4. Retaining your information: You have the right to ask me to anonymise your records at any time if you wish to terminate our working relationship. I am required by law to retain adult records for eight years following our last date of contact. After this time your details will be disposed of securely. Children’s records are retained until their 25th or 26th birthday, depending on the exact age of the child when their treatment ended.

 

5. Accessing your information: Your records are accessed by myself, either for clinical or retail purposes. You have the right to request a copy of your records at any time. Fit2flow agrees to respond to any such requests within 30 days. These will be sent by email, in a Microsoft Word document attachment.

 

6. Sharing your information: Fit2Flow will never share your information without your permission – it will be kept strictly confidential, unless there are legal grounds to disclose something which you have told me, to a third party. I shall always inform you if I feel that disclosure is necessary and seek your permission and co-operation first.

 

7. Complaints: if, for any reason, you are unhappy with how I am handling your data, please raise your concerns with me first, so that we can seek a resolution. If you are still not satisfied, then you have the right to complain to the Information Commissioner’s Office (ICO).

 

I may amend this privacy policy from time to time when required by legislation to do so. You should check back periodically to check for any changes. This privacy policy is effective from 30th Sept 2022.
